Make a room, item and key-handover photo record when moving out

Separate room overviews from details requiring follow-up and link filenames to the handover inventory. A usable record needs identifiable locations, not just a large photo count.

Photographs need location and date context

Organise departure records using the arrival inventory's room and item names. Capture an overview for each location and additional details where needed, so a later reader can locate the detail within the home.

Record capture date, parties present, key count and open issues separately. Avoid unnecessary private documents or other people's sensitive details in photographs. Retain originals and keep explanatory notes in the register.

Connect photographs to the handover record

Filenames can be short, provided they match the location and item references.

Example: a close-up lacks context

A close-up of a wall does not identify the room. Add an overview and connect the detail to its location and date in the register, making the two photographs usable together.

Keep these records after handover

  • Room and item names are consistent
  • Originals and notes can be traced
  • Keys and open matters have their own confirmation
