Record utility accounts, meter readings and handover photographs

Confirm account arrangements with each supplier and separately record meter identifiers, readings, date and handover parties. Photographs should identify the correct meter and premises.

Separate account arrangements from meter readings

Create separate departure and arrival records. Match the address and meter identifier before noting the reading. A close-up of digits is difficult to use later without its meter and date context.

Confirm termination, transfer, opening and service dates with the relevant supplier. A handover record helps organise facts but does not itself complete the account process. Keep application and confirmation details alongside it.

One record for each meter

Keep the units shown on the meter or bill and avoid adding readings of different types.

Example: a clear reading with an unclear meter identifier

The digits are legible but the meter identifier is outside the photograph. Add a contextual image showing the marking and location, then link both filenames to one record for later checks.

Organise records before key handover

  • Departure and arrival records are separate
  • Photos match meter identifiers and dates
  • Supplier application status is recorded
