Record box identifiers, retrieval and handover for temporary storage

Temporary storage needs more than a box count. Record contents, retrieval priority and collection arrangements, using one inventory for both storage and final delivery.

Plan retrieval before putting items into storage

Separate items needed soon from those staying longer. Retain the original box identifiers and record their storage or service reference. Renumbering after storage makes the two handovers harder to reconcile.

Confirm retrieval, collection authority, delivery, charges and terms with the actual storage provider. Raise special storage requirements separately. An estimated volume does not establish that the provider has accepted the items.

Fields connecting the two handovers

Connect the service record to your inventory so items can be traced by identifier.

Example: work items need earlier retrieval

Furniture can remain in storage but work items are needed sooner. List the identifiers and retrieval order, then confirm that the provider can support it before boxes disappear into the main load.

Records to retain before storage

  • Identifiers and photos match the inventory
  • Retrieval and collection conditions are confirmed
  • Acceptance and final handover records are retained separately
