Separate completed work from open matters

Reconcile handover against the work scope and variation history, recording completed and outstanding items. Keep visible observations separate from professional inspection results; a completion label does not replace the supporting record.

List equipment models, manuals, warranty contacts and promised documents separately. Record mismatches between documents and installed items, ask the responsible party to clarify them, and assign custody of originals.

Match handover documents to installed items

Mark missing documents and unanswered matters pending rather than completed.

Example: the equipment model differs from its document

An installed model differs from the manual received. Photograph its marking, link it to the handover item and request the corresponding document. Keep correctly received documents separate from the missing item.

Records to retrieve after handover

  • Completed and open items are separate
  • Equipment and warranty information match models
  • Document custody and location are clear
